Send packages and pre-fill it with data from the updated spreadsheets upon updating your data in Google spreadsheets.

Example: When sales representatives update customer information in Google Sheets, the Product Purchase Order workflow is automatically created with the updated information. After the sales representative completes the form, it is automatically forwarded to the customer for approval.

To set your workflow to start automatically, hover over the Start section and click Add trigger. Select Google Sheets update and proceed to settings.

The workflow will be automatically executed whenever a new record is added to your Google Sheet or an existing one is updated.

This default trigger helps keep your workflow in sync with real-time changes in the sheet—whether it's new data entries or updates to existing rows.

Select the source document the information will be pre-filled from. It can be either your drive or shared link.

If the Drive is selected, connect to your Google account.

Select the spreadsheet the information should be pre-filled from.

In Data mapping, connect your spreadsheet columns to document fields by clicking Map fields.

Drag and drop the Google sheet columns onto the document fields. Blue highlights indicate available fields for mapping, while other fields are disabled. Names of the mapped fields are written on the canvas so you can understand where the data will go.

To cancel mapping, hover over the connected field name and select Unmap, or click the corresponding icon next to the mapped field in the document.

Note: The trigger is activated only after all mapped columns are filled in.

Once all the settings are completed, close the window to save the settings.

Updates rely on Google’s Drive API, which may merge frequent edits into one notification:

  • Single changes are processed quickly, usually in under a minute;

  • Multiple or continuous edits (like pasting many rows) may cause delays until editing pauses;

  • In rare cases of heavy editing, delays can be up to several hours.
