How the Split PDF Document bot works
Split large PDF documents into smaller sections or pages before exporting them to the cloud using the altaFlow Split PDF Document bot. Automate the process to save time, reduce manual splitting errors, and route specific sections to different stakeholders or departments.
Note: the bot is only available for Document generation and PDF documents.
Use case example:
Legal contracts: Split a master service agreement (MSA) into separate sections — main agreement, schedules, exhibits — for distribution to different stakeholders, archiving in compliance systems, or routing to specific approval workflows.
HR onboarding: Separate a multi-document employee onboarding pack (offer letter, NDA, equipment policy, tax forms) into individual files for storage in different cloud folders or HR systems.
How to set up
When the bot works by default:
The Split PDF Document bot activates when a document is opened for filling out by a recipient.
Add the bot depending on your needs as described in this article. You may install this bot in the step, between the steps, or using the All bots section.
Find the Split PDF Document bot in the list of bots and click Install bot.
Select the document(s) and their pages that should be imported to the destination Placeholder document.
Conditions
Set conditions to split PDF documents only when specific criteria are met. Common scenarios include:
Route by department: Split an MSA into sections and send specific ones to Legal only when a "requires legal review" field equals "Yes".
Skip drafts: Only split when the document status is "Final" — avoids splitting incomplete work.
Signature-triggered split: Split the package into individual files only after all signers have completed their sections.
Compliance-based: Split PII-containing pages only when a "contains sensitive data" flag is true — route to secure storage instead of general folders.

Advanced settings
Fine-tune how the bot handles the split process:
Run frequency: Split runs once per revision by default. For iterative workflows, set it to split every time a revision completes.
Failure handling: If the source PDF has fewer pages than the selected range, choose whether to skip splitting silently or halt the workflow.
Output naming: The resulting split files inherit the original document name with a suffix (e.g., "MSA_pages_1-5.pdf"). Tag output docs to make them easy to find in cloud storage.
