Smart link is a public link to an altaFlow workflow tied to a specific SharePoint record. When you click on this link in a SharePoint record, the altaFlow workflow will be launched with its data pre-filled, updated, or exported, depending on which bots you install for this workflow. When configuring bots for this case, you don’t have to set up a lookup because the bots will already know which record to use.
With altaFlow integration for SharePoint, you can create a Power Automate flow that will add smart links to the newly created records. Use these links in your emails to send pre-filled forms to customers, for example, in email marketing tools.
Before starting the smart link creation process, activate a public link for an altaFlow workflow you’re going to use.
In the interface, go to your workflow and click Distribute> Via public link.
Move the toggle to enable the link and click Copy link, then, click Apply.
Now, proceed to creating a smart link.
Via Power Automate
In Power Automate, go to My flows tab.
Click +New flow > Automated cloud flow.
Enter the name of your flow. (It will also be the name of the Custom button in SharePoint if you create one.) Then, select the When an item is created Sharepoint trigger, and click Create.
Click on the step to open the sidebar. In the sidebar, indicate the SharePoint site address and a list based on which the flow will work.
After that, add an action by clicking + > Add an action.
In the search tab, search for altaFlow and then select the Create smart link action.
Select the workspace where the workflow you need is located and the workflow itself. To activate the SharePoint bots in the workflow, you need to provide a Dynamics Record ID. Click on Advanced parameters, then click on the Dynamics Record ID field.
Select values for the fields from the dynamic content. Click on the field to open the dropdown with the dynamic content values.
Next, select a field where the Smart Link will be placed. Add flow conditions by clicking + > Add an action and select the Update item SharePoint action.
Indicate the SharePoint site address and the list name record for which you created the smart link. Then, select an item where you want the smart link to appear and the title — click on the respective fields and select the values from the Dynamic content dropdown.
Once you’ve finished setting up the flow, click Save. Now, when the Power Automate flow works, a smart link will be created in the selected record field.
