General

The Pre-fill SharePoint files bot allows you to pre-fill fields in your documents with data fetched from SharePoint files.

Use case example: You have a master spreadsheet in SharePoint that contains pricing information. When a user fills in a customer name, you want to automatically fetch their pricing from the SharePoint file and pre-fill that data in your document.

How to set up

First, you need to have a workspace that already has SharePoint integration configured. Learn more about the SharePoint integration.

Once you have set up the Pre-fill from SharePoint list records bot, go to All bots

Create a new bot of the Pre-fill SharePoint files type

Now let's configure the bot. In the Configuration section, select your SharePoint Site from the dropdown

Select a Folder where your files are stored

Select the File you want to use for pre-filling data

Set the Lookup column - this is the column that will be matched against the value entered in your document

In the Lookup value field, map the corresponding data from your document that will be used to find matching records

Now you can select which columns from your SharePoint file you want to map to your document fields. Use the Add mapping button to add more fields

All the necessary configurations are complete! You can now perform any additional settings to your workflow or close this bot setup modal
