Automatically upload completed documents to your OneDrive.
Use case: you are handling the application process at the university, and you want to keep all documents filled by each applicant on OneDrive for reporting and auditing purposes.
How to set up
How the bot works by default
The Save to OneDrive folder bot activates when a document is completed by recipients.
Add the bot depending on your needs as described in this article. You can add the Save to OneDrive folder bot between steps or use the All bots tab.
Find the Save to OneDrive folder bot in the list of bots and click Install bot.
Connection settings
Connect the bot to your Onedrive account by clicking the Connect button. You’ll be redirected to the Onedrive login screen. Once you’ve logged in, you’ll be directed back.
Use the three dots connection menu to disconnect or switch accounts at any time.
Action settings
In the Select documents section, set the following:
Select folder: Choose the destination folder in OneDrive where the files should be archived (you can also create a new folder if needed).
Select documents: Choose the specific documents from the workflow you want to save.
Save documents as ZIP file: By default, documents are exported as separate PDFs. Check this box if you want to compress all selected documents into a single ZIP archive before exporting them to your destination folder.
Save only documents shown to recipients: Check this box if your workflow uses conditional logic. This ensures that the bot only exports active documents (those that were actually visible and filled out during the process execution), automatically ignoring any hidden or incomplete conditional documents.
Archive revisions: Choose whether a document will be archived only after the Last revision or after Each revision.
Conditions
Configure the bot execution conditions. Conditions are simple “if-this-then-that” rules that define when the bot will run. Learn more about bot conditions usage in this article.
If no conditions are set up, the bot will automatically save the document to OneDrive whenever it is completed, without any additional checks.
