altaFlow Dashboard in Salesforce

Track altaFlow documents created in Salesforce from one dashboard. Filter by record, workflow, status, or tag, check statuses, review the audit trail, and reassign recipients.

Track every altaFlow document created in your Salesforce organization from one place — check statuses, filter by record or workflow, review the audit trail, and reassign recipients without leaving Salesforce.

The altaFlow Dashboard tab shows the documents created in your Salesforce organization with altaFlow. What you can see and act on depends on your altaFlow role:

  • Workspace Owners and Supervisors track and manage every document in the workspace.

  • Operators track and manage every document in the workflows that belong to their group. Add a workflow to a group in altaFlow, and the group's Operators get the full picture of its documents in the Dashboard.

  • Everyone else sees only the documents they have access to.

Open the altaFlow Dashboard

1. Go to the App Launcher and select View All.

2. Select altaFlow from the list of apps.

3. Switch to the altaFlow Dashboard tab. If you haven’t yet logged in to the altaFlow app, enter your credentials and select Log in.

If you’ve forgotten your password, click Forgot password to recover it. Enter the email you’d like to receive password recovery instructions to. Then, click Recover password.

The altaFlow Dashboard tab will show the latest revision of each document, with a full breakdown of information.

Track documents

The header shows which records you're tracking — Track documents for all records when you open the Dashboard from the tab. Above the list, a counter tells you how much you're looking at, for example "3 documents in 2 workflows".

Every row gives you:

  • The document name, the workflow it belongs to, and the Salesforce object it's linked to.

  • A status badge naming the step the document is waiting on, such as IN USE BY RECIPIENT 1 or DECLINED BY RECIPIENT 1.

  • The date the document was last modified, and the current recipient's email.

  • A progress bar with the number of recipients who have finished, for example "1/4 recipients".

  • A View button that opens the document in altaFlow in a new browser tab.

  • A three dots menu with the actions available for that document.

To find a document by name, use the Search field in the header.

Filter and sort documents

Use the Filters panel on the left to narrow the list down. Under View options, select the Only my documents checkbox to show just the documents you created and the documents other users assigned to you.

Filter by date

  1. Click the Last modified date field.

  2. In the calendar, select the period you need, then click Apply.

All document revisions modified in the selected period appear in the Dashboard right away.

Filter by Salesforce object or workflow

  1. Go to the Objects list and select the Salesforce object you want to see documents for, such as Contact or Opportunity.

2. Go to the Workflows list and select the altaFlow workflow the documents belong to.

Filter by status

  1. Go to the Status list and select the statuses you want to filter by:

  • In use - a recipient is working on the document or has saved it as a draft;

  • Waiting for me - shows documents that require your action right now;

  • Completed - every recipient has completed their step in the workflow;

  • Locked - the document is locked, so nobody can change it;

  • Declined - a recipient declined to fill out the document.

2. Click Apply.

Filter by tag

  1. Go to the Tags list and select the tag you need. Use the Search tags field to find it.

  2. Click Apply.

Tags are hidden in the list by default. To show them next to each document, switch on the Show tags toggle above the list.

Check where a document stands

  1. Click the three dots next to the document, then select Check status.

2. Review the diagram that opens. Each recipient block shows its own status, the recipient's email, and the date and time the step finished.

Tip: For a declined step, click Decline reason to read why the recipient declined.

Review the audit trail

  1. Click the three dots next to the document, then select Audit trail.

  2. Review the activity, grouped by day. Each entry names who did what, when, and from which browser and operating system.

  3. To narrow the log down, select a period in the date field at the top right.

  4. To export the log, click the download icon and select a file format.

Manage documents from the Dashboard

The three dots menu shows only the actions that apply to a document, so what you see depends on the document's status and your permissions.

Reassign a recipient

  1. Click the three dots next to the document and select Change recipient.

  2. Enter a new email for the recipient and confirm the change.

Lock or unlock a document

Click the three dots next to the document, then select Lock to stop further changes, or Unlock to allow them again. A locked document shows a lock icon next to its name.

Discard a draft revision

To remove a draft revision and start over, click the three dots next to the document, then select Discard draft.

Delete documents

  1. Select the checkbox next to each document you want to remove.

  2. Click Delete documents.

Note: Deleting documents requires the right permissions. Workspace Owners and Supervisors can delete documents in any workflow, and group Operators can delete documents in the workflows in their group.
