General

Use the Merge completed documents bot to combine several documents into a single PDF once they’re completed.

Use case: You need your employees to complete and sign a package of documents and then turn them into single files for each employee.

How to set up

To add the bot:

1. Add a new action by clicking a plus icon.

2. Choose Bot and search for the Merge completed documents bot.

3. Click on the bot to install it.

Trigger

A trigger is an event that causes the bot to start working. The bot can be placed only after a step or any other element (for example, another bot), and it will run once the previous element finishes its job.

Documents

In the Documents section, tick the documents you want to merge in the dropdown menu.

Arrange documents order in the merged document by dragging them.

Click Continue to proceed.

Naming

In the Name section, choose the naming pattern for new documents.

The naming pattern includes the following options:

Fixed value - enter your own document name

Signer details - signer’s name or email

Document field - select the document field from which the name will be taken

Date and time - select a specific date type based on which the document will be named

Input parameter - select the input parameter field from which the name will be taken

Compound name - provide several values for the document name


Click Continue to proceed.

Testing

In the Test section, simulate the bot's performance by clicking Test. Successful test will show a new file creation with the name specified in the Naming section.

Conditions

Set conditions to control when the bot activates, tailoring it to your specific needs for more efficient automation. For detailed guidance, refer to this article.

Advanced settings

This section allows you to choose how the process proceeds in case the bot fails:

  • Select Proceed to allow the workflow to move to the next signer and automation if the bot isn't crucial.

  • Select Stop if the bot is critical; this prevents the next signer from receiving documents if data wasn't pre-filled from the source of your choice.
