General

Staying informed about the completion of tasks and documents is crucial in any workflow. To automate this process and ensure timely notifications, you can use the Send email notification bot. It sends automatic email notifications to specific signer, keeping everyone in the loop and enhancing workflow efficiency.

Use case: Imagine you work for a law firm, and you regularly send legal contracts to clients for their review, editing, and signature. To streamline the process and stay informed about the completion of contracts, install the Send email notification bot.

How to set up

To add the bot:

1. Add a new action by clicking a plus (+) icon.

2. Choose Bot and search for the Send email notification bot.

3. Click on the bot to install it.

Trigger

A trigger is an event that causes the bot to start working. The bot can be placed only after a step or any other element (for example, another bot), and it will run once the previous element finishes its job.

Action settings:

Select the signer of the email: choose one from the steps in the workflow, someone from the contact list, the person indicated in the document, or information from parameters (to learn more about parameters, check this article).

Edit the default message if needed, or enter your own text.

If you would like separate documents attached to the email, select them from the list. The attachment request widget option is also supported.

Testing

In the Test section, simulate the bot's performance by selecting Test. Input the email address which will be used for the notification sending. A green success message confirms proper configuration. Any errors will be displayed as an error message.

Conditions

Set conditions to control when the bot activates, tailoring it to your specific needs for more efficient automation. For detailed guidance, refer to this article.

Without defined conditions, the bot will default to activating whenever signers complete the documents.

Advanced settings

This section allows you to choose how the process proceeds in case the bot fails:

  • Select Proceed to allow the workflow to move to the next signer and automation if the bot isn't crucial.

  • Select Stop if the bot is critical; this prevents the next signer from receiving documents if data wasn't pre-filled from the source of your choice.
