Export documents from the document placeholder

Export altaFlow document placeholder files manually as a ZIP or automatically to your CRM through Export bots. Complete step-by-step guide.

Export files uploaded to an altaFlow document placeholder in two ways: download them manually as a ZIP alongside other workflow documents, or send them automatically to your CRM using Export bots. Both methods handle empty placeholders gracefully — you receive the empty form as a placeholder document.

A document placeholder is a special field in an altaFlow workflow that accepts file uploads from recipients (for example, ID photos, receipts, or signed attachments). Once uploaded, those files stay attached to the workflow revision and can be exported like any other document.

Manual export — download as ZIP

When you download documents from a workflow, files uploaded via the document placeholder are automatically included in the ZIP archive together with the workflow's other documents.

To download, click the three dots menu next to a workflow and select the download option you need.

If no files have been uploaded to the document placeholder in the current revision, the ZIP archive will contain an empty document placeholder form together with the rest of the documents.

Automatic export — send to CRM via Export bots

To send document placeholder files directly to your CRM, install an Export bot in your workflow. Once configured, the bot automatically attaches every uploaded file to the corresponding CRM record as a PDF whenever a workflow revision completes.

Available Export bots include integrations for Salesforce, HubSpot, Pipedrive, MS Dynamics 365, NetSuite, and other CRMs. Each bot maps the placeholder files to the correct record type — no manual attachment needed.

If no files have been uploaded to the document placeholder, the bot attaches the empty document placeholder form to the CRM record instead — so you always have a trace of the workflow, even when the recipient skipped the upload.
