How the Add tags bot works
Automate document tagging with the altaFlow Add tags bot. Apply custom tags to completed documents based on workflow data — campaign IDs, product tiers, deal stages, regions — for easier filtering and reporting in your dashboard.
Use case example: Imagine that you are working in marketing team and collaborating on various documents for upcoming campaigns. You would like the completed documents to have tags based on the responses of the recipients, for example — "#SpringSale", "#SocialMedia", and "#TargetAudience". The Add tags bot becomes instrumental in automating this process.
How to set up
When the bot works by default:
The Add tags bot activates when a document is completed by recipients.
Add the bot depending on your needs as described in this article. You can add the bot between steps or use the All bots tab.
Find the Add tags bot in the list of bots and click Install bot.
Alternatively, the bot is also available as a part of the steps settings. All you need is to access the required step settings, go to the Advanced settings, and toggle the Custom tags option.
However, in this case, the tags will be added to each document without any conditions.
Action settings
Enter the tag you would like to be used for the documents or use data from the + Data variable.
The + Data variable option lets you add a placeholder to the document name. This placeholder will be filled with data from the selected sections: Document fields, Date and time, Recipient data, Template data, Document data, or Decline reason.
Conditions
Set conditions to apply tags only when specific criteria are met. Common tagging scenarios include:
Campaign-based tagging: Apply "#Q1Campaign" only when a "Campaign quarter" field equals "Q1".
Deal size filtering: Add "#Enterprise" tag only when the total contract value exceeds $50,000.
Region-based tagging: Apply "#EMEA" tag only when the country field is in "France", "Germany", or "UK".
Decline tracking: Add "#DeclinedReview" only when the decline reason field is not empty — quickly find rejected docs for follow-up.

If no condition is set, the bot adds tags every time a document is completed, without any additional checks.
Advanced settings
Fine-tune how the bot applies tags:
Run frequency: Tags apply once when the workflow completes by default. Enable per-revision tagging if you need to track tags across multiple document versions.
Failure handling: If the tag data source (Data variable) is empty, choose whether to skip tag creation silently or stop the workflow entirely.
Tag consistency: Use Data variable placeholders (like
{campaign_id}) for dynamic tags derived from document fields — this avoids manual duplication and keeps your dashboard clean.
