Add watermark bot

Add watermarks to altaFlow documents automatically. Apply text or image watermarks to completed documents based on workflow conditions.

This bot is available for free, and its usage does not consume credits. For more information about credit usage, refer to this article.

Add the watermark using the Watermark bot to protect your documents and claim ownership. The watermark is visible to signers and on the exported copies of the document. Once added, the watermark cannot be removed.

Note: the bot is only available for the following documents: Document generation, PDF, and Document Placeholder.

Use case example: In a law firm, there's a need to protect confidential legal documents that are shared with clients, collaborators, and other parties. These documents may include contracts, legal opinions, and sensitive case files. To maintain document integrity, claim ownership, and prevent unauthorized sharing, the Watermark bot is used.

How to set up the Add watermark bot

When does the bot work by default:

The Add watermark bot activates when a document is opened for filling out by a recipient.

Add the bot depending on your needs as described in this article. You may install this bot in the step, between the steps, or using the All bots section.

Find the Add watermark bot in the list of bots and click Install bot.

Proceed with the bot configuration. In the Select documents and watermark settings section:

  • Select the documents you intend to watermark in your workflow

  • Add the desired watermark text

  • Watermark text orientation: diagonal, vertical, horizontal

  • Choose the text color

  • Define the color transparency

  • Choose whether the watermark should be applied to all the pages or to the first one.

Watermark bot conditions

Set conditions to apply watermarks only when specific criteria are met. Common watermark use cases include:

  • Confidential documents only: Apply a "CONFIDENTIAL" watermark when a document type field equals "Legal Contract" or "NDA".

  • Voided documents: Add a "VOID" watermark when a decline reason is selected, marking the document as no longer valid.

  • Status-based stamps: Apply "DRAFT" or "FINAL" watermarks based on workflow stage or recipient role.

  • Client-specific branding: Show a custom watermark only when the recipient email belongs to a specific domain.

Watermark bot advanced settings

Adjust how the Watermark bot operates beyond basic configuration:

  • Run frequency: Choose whether the watermark applies once per workflow or on every revision. When multiple Watermark bots are installed for different revisions, the watermark on the first revision is replaced by the watermark from later revisions.

  • Failure handling: Decide whether to skip the watermark or stop the workflow entirely if the bot cannot process the document.

  • Document tags: Add tags such as "watermarked" or "confidential" so you can filter and locate watermarked documents in your dashboard later.

When you are using Integration Export bots with the Watermark bot, the exported documents will also contain the watermark.

Can I remove a watermark after it's applied?

No. Once the Watermark bot adds the watermark, it becomes permanent. Both signers and recipients of exported copies will see it.

Does the watermark appear on exported documents?

Yes. When you use Integration Export bots together with the Watermark bot, the exported documents sent to Google Drive, Dropbox, or other destinations will contain the watermark.

Which document types support watermarks?

Document generation, PDF, and Document Placeholder documents only. The bot does not work with web forms or Excel-based documents.

Can I use multiple watermarks in one workflow?

Yes. If you install several Watermark bots for different document revisions, the most recent revision's watermark replaces previous ones.

Does the Watermark bot consume credits?

No. The Watermark bot is free to use and does not count toward your plan's credit limit.
