How the Forbid discarding changes bot works
Prevent altaFlow signers from accidentally discarding changes during document signing. The Forbid discarding changes bot automatically hides the Discard option in the Other Actions menu — signers cannot lose their work by mistake, which is critical for long-form contracts or multi-field forms.
Use case example: Use the bot to prevent any signer from accidentally discarding changes during the signing process. Especially useful for long-form contracts, complex applications, or documents where signers spend significant time entering data.
How to set up
When the bot works by default:
The Forbid discarding changes bot activates when a document is opened by a recipient.
Add the bot depending on your needs as described in this article. You may install this bot both in the step or using the All bots tab. Find the Forbid discarding changes bot in the list of bots and click Install bot.
Alternatively, the bot is also available as a part of the steps settings. All you need is to access the required step settings, go to the Advanced settings>Signing process, and check the Forbid discarding changes option.
Action settings
The option is enabled automatically. No actions are required from your side in this section.
Conditions
Set conditions to hide the Discard option only in specific scenarios. Common use cases include:
High-value contracts only: Hide Discard only when the contract value exceeds $10,000 — keeps casual documents flexible while protecting critical work.
Specific signer roles: Apply only to external signers, letting internal reviewers still discard drafts freely.
Long-form document type: Hide Discard when the document type field equals "Loan application" or "Insurance form" — where signers invest significant time.
Region-based compliance: Enforce for EU signers only (country field in "France", "Germany", etc.) where regulatory workflows require preserving all data.

If no condition is set, the bot hides the Discard option whenever a document is opened by the recipient.
Advanced settings
Fine-tune how the bot enforces the Discard block:
Run frequency: The bot runs on every document open by default. No configuration needed for typical use.
Failure handling: If the bot fails to hide the Discard option (rare), decide whether to proceed with the workflow anyway or stop and alert an admin.
Document tags: Tag documents where discard is forbidden (e.g., "discard-locked") so you can audit which sessions had the protection enabled.
