Check document status

Track the status of sent documents on the Status page.

Note: You can check the document status after it has been sent successfully.

To check the status of a sent document:

  1. Go to the Documents folder in the left sidebar.

  2. Click the three-dot menu next to the document.

  3. Select Check status from the dropdown.

Use the Status page to check the document status, change recipients, send reminders, download and review revisions.

Change recipient

If you need to change the recipient after sending the document, click Change recipient, enter a new email address or phone number, and customize your message if needed. The current recipient will lose access to the document.

Revoke access

This allows you to revoke access to the document after it has been completed.

Send reminder

Use this option to remind the recipient to complete the document. Click Send reminder to send a follow-up message to the current recipient.

Once the reminder is sent, hover over the bell icon to see the date and time it was sent.

Download, view, and send to email

Once the document has been completed, you can download it to your device, open it to review its contents, and forward it to an email address or phone number.

Statuses

The status indicates what happens to the document at a specific step.

Sent
The document has been sent to the recipient. To view the delivery time, hover over the envelope icon.

You can also send a reminder to complete the document or change the recipient if the document hasn't been opened yet. If you send it to another recipient, the current one will lose access to the document.

Not sent

If the document hasn’t been sent due to an error, a crossed-out envelope icon is displayed.

Opened
The recipient has received and opened the document, but hasn't completed it yet. You can send them a reminder to complete the document.

To send the document to another recipient

  1. Go to the Documents folder.

  2. Click Send again in the three-dot menu next to the document.

Declined
The recipient has refused to complete the document and declined it. All subsequent steps in the workflow, if any, will be unavailable.

To view the decline reason:

  1. Go back to the Documents folder.

  2. Click the three-dot menu next to the document and select Unlock.

  3. Open the three-dot menu again, go to the Status page, and click Decline reason.

Pending

The recipient hasn't received the document yet because it’s currently at one of the previous steps. They will get access to the document at the required step once the previous documents are completed.

Inactive

The document doesn’t meet the step conditions, so it won’t move forward.

Completed

The recipient has completed the document, or the fields are assigned to a specific step.


Locked

All steps have been completed successfully. The documents are automatically locked after they're completed.

To open the Status page, unlock the document.

  1. Go to the Documents folder.

  2. Click the three-dot menu next to the document and select Unlock.
