Smart link is a public link to an airSlate workflow tied to a specific MS Dynamics 365 record. When you click on this link in an MS Dynamics 365 record, the airSlate workflow will be launched with its data pre-filled or exported, depending on which bots you install for this workflow. When configuring bots for this case, you don’t have to set up a lookup because the bots will already know which record to use.
With airSlate integration for MS Dynamics 365, you can create an MS Dynamics 365 workflow or a Power Automate flow that will add smart links to the newly created records. Use these links in your emails to send pre-filled forms to customers, for example, in email marketing tools.
Before starting the smart link creation process, activate a public link for an airSlate workflow you’re going to use.
In Admin tools, go to the Workflows tab. Select the workflow you need and click Edit links.
Move the toggle to enable the public link, click on the link to copy (you will use it in the further settings), and click Done.
To activate the link from the airSlate interface, go to your workflow and click Distribute > Via public link.
Move the toggle to enable the link and click Copy link, then, click Apply.
Now, proceed to creating a Smart Link.
Via MS Dynamics 365 Workflow
In your MS Dynamics 365 account, click on the gear icon and go to Advanced Settings.
In the Settings tab, select Processes.
In the top left corner click NEW to start a new MS Dynamics 365 workflow.
In the Process Name field, name your process. In the Category dropdown, select the type of process — workflow. In the Entity dropdown, select the entity for which you want to create a workflow. Once finished, click OK.
You’ll be redirected to the workflow settings page. Click Add Step, then select airSlate > Create smart link from the dropdowns.
On the added step, click Set Properties.
In the new window, enter the public link you’ve generated for the airSlate workflow in ‘Public link’.
In ‘Field name’, add an entity field where the smart link will appear. On the sidebar panel in the ‘Look for’ section, you’ll find the already selected entity type (Account in our example). Click on the dropdown below to select the field.
Once you’ve selected the field, click Add. Then select this field in the box below and click Ok. The field name will appear in ‘Field name’. Once finished, click Save and Close.
You’ll be sent back to the MS Dynamics 365 Workflow settings page. In the top panel, click Save, then click Activate.
In the pop-up, confirm your action by clicking Activate.
The smart link will appear in the indicated field of the selected entity (website in our example).
Via Power Automate
In Power Automate, go to My flows tab.
Click +New flow > Instant cloud flow.
Enter the name of your flow. (It will also be the name of the Custom button in MS Dynamics 365 if you create one.) Then, select Manually trigger a flow from the list and click Create.
In the newly created flow, click + > Add an action.
In the list of actions, search for Microsoft Dataverse. Then, click See more to view the complete lists of its actions.
Select List rows.
In Table Name, select the entity type you need (Accounts, in our case).
Then, add a new action by clicking + > Add an action. In the search tab, search for airSlate and then select the Create smart link action.
In the sidebar, name your connections and provide credentials for your airSlate account you’re working in. Then, click Create New.
Select the workspace where the workflow you need is located and the workflow itself. To activate the MS Dynamics 365 bots in the workflow, you need to provide a Dynamics Record ID. Click on Advanced parameters, then click on the Dynamics Record ID field.
Click on the lightning icon near the field to open the Dynamics content section and select an identifier for the entity in the trigger. In our case, it’s Account Name.
Once ready, add flow conditions by clicking + > Add an action. In the sidebar, search for Microsoft Dataverse once more and select the Update a row action.
In Table name, indicate the record for which you create the smart link (in our case, Accounts). In Row ID, select a field where you want the smart link to appear. Click on the lightning icon as in the previous step to open the Dynamic content section.
Select the field you need.
Once you’ve finished setting up the flow, click Save. Now, when the Power Automate flow works, a smart link will be created in the selected record field.
