Overview
Automatically follow up with users who abandon your public altaFlow forms. By designating an Email field as the signer's identity, you capture their contact info early in the process and can send automated reminders if they don't complete the document.
How it works
A signer opens your form via a shareable link (direct URL, website embed, or QR code).
They enter their email into the designated Email field.
The moment they click out of that field (focus out), the email is saved and associated with their session.
If they abandon the form, reminder emails can be sent to that address on the same cadence as regular assigned recipients.
If the signer never enters an email, nothing breaks — no reminders can be sent for that session.
Set up reminders
Configure the Email field in the Forms Editor
Open your form in the Forms Editor and add (or select) an Email field.
Turn on the Save email upon entry setting for that field.
With the setting on, the field displays fixed helper text to signers: "This email is saved upon entry and may be used to send you notifications." This text cannot be edited or removed — it tells the signer how their email will be used.
Point the shareable link at that field
In the workflow editor, open the Start step and go to Shareable link settings.
Make sure the Shareable link toggle is on.
Check Enable notifications for recipient from this link.
In Recipient email source, select your Email field (e.g., "Email for reminders doc 1"). Only fields with Save email upon entry enabled appear in the list.
Click Apply changes.
Share the link
Distribute the form any way you like — all entry points support reminder capture:
Copy link — send the URL directly by email, chat, or social media.
Embed code — place the form on your website via the provided iframe snippet.
QR code — add it to printed materials or on-site displays.
Use cases
Job applications on your careers page
Scenario: HR embeds an application packet on the company website via the shareable link.
How it works: The candidate's email is captured the moment they fill in the contact field. If the application is left unfinished, they automatically receive reminders to complete it.
Event registration with waivers via QR code
Scenario: Attendees scan a QR code at a venue to register and sign a waiver.
How it works: As soon as they enter their email, admins can send reminders until the waiver is signed — useful when participation requires a completed document.
