This article covers plans billed by documents. If your Subscription page shows Credits, check articles in this category.
A document is the unit your subscription is counted in.
One document = one run. Every time a process runs in altaFlow — a workflow, a template, or a one-time send — that's one document.
Size doesn't change the count. A run with five files and four recipients is one document, exactly like one file sent to one person. What's counted is how many times something runs, not how much is inside it.
The Documents counter in the workflow builder counts the files you've added to the workflow, not the runs you've made. A workflow with three files still uses one document each time you run it.
What draws from your documents
Action | Documents |
Run a workflow once, however many files it holds | 1 |
Send a document or template as a one-time send | 1 |
Run a workflow that passes through several recipients | 1 |
Let recipients complete several revisions of the same run | 1 |
Run a workflow for 50 people with bulk send | 50 |
Have a recipient open a workflow from a shareable link | 0 until they complete it, then 1 |
Bulk send is the only case where the number of recipients affects usage because each recipient gets a separate run.
When documents are counted
Runs you start — from a workflow, a template, or a one-time send — count as soon as they're sent. Whether the recipient opens them doesn't change that.
Runs a recipient starts — from a public or private shareable link — count only when the recipient completes the revision. A link can be opened by anyone who has it, so counting at the moment it opens would overstate your usage. Until then, the run appears in your Usage log with 0 documents.
What doesn't count toward your document volume
Building and saving. Creating a workflow, adding files, and saving it uses nothing.
Test sends. Select Send as test as often as you need while setting a workflow up.
Files. A file is a single PDF, DOCX, or form inside the run. Files never count separately.
Revisions. Every signing session inside one run belongs to the same document, however many times recipients open and complete it.
Automation. Bots, autostarts, and integrations aren't billed and never count toward your documents, however many times they run.
When you run out of documents
Sending pauses until more documents are added to your subscription.
You'll get an email when you've used 80% of your documents, and again when the last one is used.
Where to check your usage
Click your avatar, then select Manage workspace and account.
Select My workspace, then open the Subscription tab to see how many documents you've used out of the number you bought for the year.
Open the Usage log tab to see each document, grouped by the workflow or template it came from, with the date it went out.
Note: If your workspace previously used credit-based billing, your previous usage history remains available in the Usage log
