Find and complete documents assigned to you in altaFlow through the Inbox tab. The Inbox centralizes every document where you're a signer, approver, or collaborator — so you don't have to dig through email or shared folders to locate pending tasks.
Inbox tabs explained
The Inbox folder contains three tabs that filter documents by status:
All — Shows every document assigned to you, regardless of status. Use this tab when you want a complete overview, including documents you've already completed.
Waiting for me — Shows documents that require your action right now: ones you've just received, plus drafts you started but haven't submitted. This is the tab to check first thing in the morning.
Completed — Shows documents you've finished filling out and submitted. Useful for finding past contracts, receipts, or approvals when you need to reference them later.
Sorting and filtering Inbox documents
When your Inbox grows beyond a handful of items, sorting and filtering save time. Each column header lets you sort the list, and the filter panel narrows results.
Available sort options include:
Last update — Sort by the most recently changed document (default). Best for staying current with active workflows.
Date of creation — Sort by when the document was first sent to you. Useful for finding the oldest items needing attention.
Alphabetical order — Sort by document name. Helpful when you know the document title but not the date.
Find detailed instructions on sort and filter behaviors in the document management article.
Managing documents from the Inbox
Documents in your Inbox can be managed the same way as items in the Documents folder. From any row, you can:
Open and fill out — Click the document to open it in the editor and complete required fields.
View — Preview the document without making changes.
Download — Save a copy locally as a PDF.
Forward / send — Pass the document to another recipient (when allowed by the workflow).
Delete — Remove the document from your workspace (Workspace Owners only).
Find full instructions for managing sent documents in the document management article.
Note: Be careful when deleting documents from your Inbox. Just as in the Documents folder, you can't undo this action. By deleting documents here, you remove them from the workspace permanently — both for you and for any other recipients.
