How to export document metadata

Download a CSV file with key details about your documents.

You can now export key metadata about your documents — such as status, creator, completion date, and tags — to a CSV file directly from the Documents and Workflows pages.

This makes it easy to track team output, follow up with recipients who haven't completed their documents, spot failed or declined documents, and build your own reports in Excel or Google Sheets.

What's included in the export

The export generates a CSV file with the following columns:

Workflow ID

The unique ID of the workflow; empty for one-time sends

Workflow name

Empty for one-time sends

Workflow version

The version of the workflow used to create the document

Document ID

The unique ID of the document

Document name

The document's name

Document status

Draft, Waiting, Failed, Completed, Declined, Unassigned

Created by

The name of the user who created the document. Shows Anonymous when the document was started via a public link, and Autocreated when the document was started automatically by an autostart trigger.

Created on

Date and time according to your settings

Completed on

Empty if the document hasn't been completed

Tags

Separated by commas

How to export metadata

There are two ways to start an export, depending on what you need.

Export metadata for all documents

  1. Go to Documents. To export documents from a specific workflow, go to Workflows, then find and open the workflow you need.

  2. Apply filters. For example, show only completed documents, or documents created within a specific date range. This step is optional.

  3. Click More actions in the top-right corner ⋮

  4. Select Export metadata for all documents

This exports every document matching your current filters — up to 10,000 documents at a time.

Export metadata for selected documents

  1. Go to Documents or Workflows

  2. Select one or more documents using the checkboxes.

  3. In the toolbar that appears, click Export metadata.

Only the selected documents are included in the export.

Tip: If you need to extract the actual content of your documents, use the Export fields data

Who can export metadata

Exporting metadata is available only to users with the Owner, Auditor, or Supervisor role. If you don't see the export option, contact your workspace administrator.

See how many documents each team member sent over a given period.


Follow up on unsigned documents

Filter by status, export the list, and remind recipients who haven't completed their documents.

Find failed or declined documents

Export the filtered list to quickly identify documents that need to be re-sent.

Build recurring reports

For example, how many documents were completed in a specific workflow over the last 90 days.
