What is the Assistant

The Assistant is a built-in tool in altaFlow that lets workspace Admins and Supervisors ask questions in plain English about documents sent from their workspace and get direct, specific answers. It works with your live data: documents, steps, recipients, teammates, workflows, and automations.

Instead of exporting raw data, adding filters, or waiting for someone to pull a report, you type a question and get the answer immediately.

Who it's for

The Assistant is available to Owners and Supervisors. These are the roles in altaFlow that have visibility across the workspace, and the Assistant is designed around that scope. It answers questions at the workspace level, not about a single document or step in isolation.

What it helps you do

Speed up routine checks. To find stuck document packages, failed automations, or stalled steps, you usually need to check many sent documents. The Assistant brings that information together in a single answer.

Simplify reporting. Completion rates, sending volume, average processing time, decline rates — these are available on demand, for any workflow or for the entire workspace, without building a custom report.

Discover what's not obvious. Some patterns only become visible when you look across data: which step consistently slows documents down, which recipient takes the longest to respond, which workflow almost never reaches completion. The Assistant surfaces this without you having to know where to look.

What the Assistant can and can't see

The Assistant works with document metadata: what happened across your documents, steps, workflows, and team. It doesn't have access to the contents of your files. It can tell you that a document was completed in 3 days, but not what the recipient typed into the form.

This is only the first step for the Assistant. Over time, it will become a more powerful part of altaFlow, helping you work faster, make smarter decisions, and understand what needs your attention. We’ll keep improving the Assistant by listening closely to your feedback and adding the features that help you get real work done.
