What is the Assistant?

The Assistant is a built-in altaFlow tool that lets workspace Owners and Supervisors ask questions in plain English about documents, workflows, steps, recipients, teammates, and automations in their workspace.

Instead of exporting data or building reports manually, you can ask a question and get a direct answer based on live workspace data.

Who can use the Assistant?

The Assistant is available to Owners and Supervisors. Other workspace roles, including Creators, Fillers, Auditors, and Guests, don’t have access to it.

What can the Assistant help me with?

The Assistant can help you:

  • Find documents that are stuck, failed, declined, locked, or waiting on a recipient

  • Check workflow performance and completion rates

  • Identify bottlenecks in document steps

  • Review team sending activity

  • Find recipients who take the longest to complete steps

  • Check failed automations or bot errors

  • Compare document volume over time

Does the Assistant answer questions about a single document?

The Assistant is designed for workspace-level visibility. It can answer questions across workflows, documents, steps, and team activity. It is not meant to inspect the contents of a single document or read what was entered into a file.

How do I turn the Assistant on or off?

Owners and Supervisors can turn the Assistant on or off for the entire workspace:

  1. Go to My workspace.

  2. Open AI Settings.

  3. Toggle Assistant on or off.

Can we opt out of using the AI Assistant?

Yes. If your organization’s internal policies, compliance requirements, or data handling rules don’t allow the use of AI tools, you can opt out at the workspace level.

To opt out, contact altaFlow Support and we'll turn off the AI Assistant for your workspace.

Who can manage Assistant settings?

Only Owners and Supervisors can manage the Assistant setting for the workspace.

Can the Assistant be disabled for the whole workspace?

Yes. Owners and Supervisors can turn it off at the workspace level if your organization’s policy requires it.

Is the Assistant free to use?

The Assistant is currently available at no additional cost. As we continue to develop it and expand its capabilities, we may introduce separate pricing in the future. We'll notify you before any changes take effect.

Is there a daily usage limit?

Yes. The Assistant can answer up to 10 questions per workspace each day.

Is the limit counted per user?

No. The limit is shared across all Owners and Supervisors in the workspace. It is not counted separately for each user.

When does the daily limit reset?

The limit resets at 12:00 AM UTC.

Do I need to use specific commands or syntax?

No. You can ask questions in plain English. The Assistant understands natural language, so you don’t need to know internal status codes or special commands.

How do I ask about a specific workflow?

Mention the workflow name in your question.

For example:

“What’s the completion rate for the Client Onboarding workflow?”

Can the Assistant read the contents of my files?

No. The Assistant can’t read the text inside PDFs, forms, or attached files. It works with metadata and analytics data only.

Can the Assistant see what a recipient typed into a form?

No. Values typed into forms are stored inside the document itself and are not available to the Assistant.

Can the Assistant see signature details?

No. Signature details are part of the document content and are not available to the Assistant.

Can the Assistant count fields inside a document?

No. Field counts are part of the file content, so the Assistant can’t access them.

Can the Assistant answer questions about workflow configuration?

No. The Assistant works with execution data, not configuration data. It can tell you how a workflow performed, but not how routing logic, field logic, triggers, or conditions are configured.

How does the Assistant access my data?

The Assistant queries your workspace’s analytics data, such as document statuses, step timings, recipient assignments, teammate activity, and automation records. It doesn’t have access to your workspace at a file or content level.

Is my organization’s data used to train AI models?

No.

Are my questions used to improve or personalize the Assistant?

No. Questions you send to the Assistant are processed to generate a response within the session. They aren’t used to train models, improve models, or personalize future responses based on your history.

What should I do if the Assistant returns an incorrect answer?

Send a report to [email protected].

Include:

  • The question you asked

  • What the Assistant returned

  • What you expected it to return instead

  • The date and approximate time of the request

What should I do if the Assistant fails to respond or behaves unexpectedly?

Report the issue to [email protected] and include the question, the result, the expected result, and the approximate time of the request.
