How the Assistant accesses your data
The Assistant queries your workspace's analytics data: document statuses, step timings, recipient assignments, teammate activity, and automation records. It doesn't have access to your workspace at a file or content level.
There is a strict boundary between document metadata and document content. The Assistant can see that a document was sent on a certain date, completed in two days, and had one step declined. It cannot read the text inside the PDF, see what values a recipient entered into a form, or access any file attached to a document. This boundary is enforced at the system level, not by the AI model itself.
Data isolation
The Assistant only has access to data within your organization's workspace. It cannot retrieve information from other altaFlow workspaces, and responses are always scoped to your workspace's data.
AI model training
Your organization’s data is not used by third-party AI service providers to train or improve their models. Data is processed only as needed to generate a response to your query and is not retained by those providers for model training or model improvement purposes.
Your queries
Questions you send to the Assistant are processed to generate a response and aren’t stored or used outside of that purpose. The Assistant doesn't learn from your queries or personalize responses based on your history.

Access control
The Assistant is only accessible to Owners and Supervisors in your workspace. It can be turned off entirely at the workspace level by an Owner or Supervisor if your organization's policy requires it. See How to use the Assistant for instructions.
