The Assistant is available to Owners and Supervisors. Other workspace roles (Creator, Filler, Auditor, Guest) don't have access to the Assistant.
Turn the Assistant on or off
The Assistant is turned on by default at the workspace level. Owners and Supervisors can turn it on or off for the entire workspace.
Go to My workspace.
Open the AI Settings section.
Toggle Assistant on or off.
Only Owners and Supervisors can manage this setting.
Usage limits
The Assistant can answer up to 10 questions per workspace each day. This limit is shared across all Owners and Supervisors, not counted separately for each user. It resets at 12:00 AM UTC.
If you're planning to use the Assistant for a reporting session, prioritize your most important questions. You can always follow up with more specific questions in the same conversation instead of asking broad questions repeatedly.
How to ask a question
Open the Assistant in altaFlow and type your question. The Assistant understands natural language, so you don't need to use specific syntax or commands.
Where you ask matters. If you're on a specific workflow's page and ask a question, the Assistant will answer in the context of that workflow by default. If you want data across the entire workspace, say so explicitly: "across all workflows" or "for the entire workspace."
How conversations work
The Assistant keeps context within a conversation. You can ask a broad question, then follow up with more specific ones without restating everything:
"Which documents are stuck waiting for a recipient?"
followed by:
"Which of those are in the Client Onboarding workflow?"
followed by:
"Who are the recipients assigned to those?"
Each question builds on the previous answer. You don't need to repeat the context each time.
Understanding the answers
The Assistant returns one of several response types depending on what you asked:
A single number or value for straightforward count or metric questions
A table when comparing multiple items across two or more dimensions
A list when you ask "which items need attention" β ordered from oldest to newest so the most overdue items appear first
For metrics such as completion rate or average completion time, the Assistant shows the sample size next to the result. This helps you understand how reliable the number is.
